Organizations that run many events and exhibitions often ask us, "Is it better to buy or to rent?" The answer is almost entirely decided by two things: how many days a year you use it, and whether it stays in one place. We summarized this based on break-even figures from overseas manufacturers and rental companies, and on our own mobile cube project, which toured about 20 venues including EXCO and COEX.
1. Break-even is 12–20 days a year
Renting usually pays off at 10 days a year or less, buying at 15 days or more.
According to overseas sources, rental rates include installation, transport and maintenance in the daily price, so upfront costs are 40–60% lower. Buying requires a larger initial investment but pays off the more often you use it. The break-even point falls between 12 and 20 days of use per year, depending on screen size and specs. Over five years, if you use the screen 15 days a year or more, buying has the lower total cost. Permanent installations (outdoor promotion and information) are, of course, a purchase.
2. Fixed location: buy. Moving around: rent
A fixed installation pays for the structure once; moving pays for it every time.
For a screen that stays in one place for three years or more, the structure and electrical work are done only once, so buying makes sense. On the other hand, if it moves to a new location four to six times a year or more, a fixed screen incurs a large part of the installation cost again with every removal and reinstallation, so renting or a mobile setup is better. That is why we built our anamorphic cube to be taken apart and reassembled — buy it, but keep it mobile.
3. Rental vs. fixed purchase vs. mobile purchase
There is a middle option.
| Category | Rental | Fixed purchase | Mobile purchase |
|---|---|---|---|
| Initial cost | Low (daily rate) | High | Medium to high |
| Annual use | 10 days or less | Permanent | 15+ days, multiple venues |
| Structure | Temporary stand/truss (included) | Wall mount, pole, foundation | Dedicated frame and case |
| Maintenance | Rental company | Annual maintenance cost | Storage, transport and inspection costs |
| Content | Per event | Ongoing schedule | Per event + reuse |
| Best for | 1–3 events a year | Outdoor promotion, information, lobbies | Exhibitions, touring events, pop-ups |
4. If you decide to buy
Look at the five-year total cost.
Add up these five items over five years and compare the total with five years of rental fees. We include a five-year operating cost estimate in our quotes.
Equipment (modules, cabinets, control) + structure and electrical + installation
Annual maintenance (regular inspections, consumables, spare parts)
Electricity (average power × operating hours)
Content production and replacement costs
For mobile setups: storage, transport and reassembly labor
① Common scenarios
Our recommendations for typical situations.
| Situation | Recommendation |
|---|---|
| 1–2 events a year, different venue each time | Rental |
| Quarterly exhibitions or briefings, rotating 3–4 venues | Mobile purchase (cube or modular) |
| Permanent use in a lobby or meeting room | Purchase |
| Permanent outdoor promotion or information | Purchase + maintenance contract |
| Want to decide after a trial run | Short-term rental, then switch to purchase (partial rental credit negotiable) |
② Decision checklist
Answer these four questions and you have your answer.
How many days a year, and at how many venues, will it be used?
Is the location fixed, or will it move (how many times a year)?
Does the site need structural or electrical work?
Is there someone to handle operation and maintenance?
